Cancellation & Participation Policy – Local Secrets XP

1. Booking & Deposit

  • A non-refundable deposit is required to confirm the booking.

  • The remaining balance must be paid no later than 60 days before departure, unless otherwise agreed in writing.

Failure to complete payment within the agreed timeframe may result in cancellation of the reservation.

2. Core Experience Values

Local Secrets XP is built on the curation of high-quality experiences and the preservation of group harmony.

We carefully design each experience and select participants to ensure alignment, trust, and a high standard of interaction. Each participant plays a role in maintaining this environment.

3. Participation Conditions

By confirming a booking, participants agree to:

  • Respect payment timelines and commitments

  • Maintain clear, respectful, and professional communication

  • Adapt to operational decisions, including necessary changes to boats, accommodations, or itinerary

Failure to meet these conditions may result in cancellation of participation.

4. Cancellation by the Participant

All cancellations must be made in writing (email to martha@localsecretsxp.com or written message confirmation).

The following cancellation fees apply:

  • More than 45 days before departure: 50% retained, remaining balance refunded

  • 45 to 30 days before departure: deposit retained

  • 29 days or less before departure / no-show: 100% of total trip price charged (no refund)

5. No Refunds For

No refunds will be issued for:

  • Late arrival, early departure, missed activities, or unused services, unless otherwise agreed in writing

  • Weather conditions, wind conditions, or personal skill level

  • Illness, injury, or personal circumstances

​

6. Trip Interruption

If a participant leaves the trip early for any reason, no refund will be issued for unused days or services, unless otherwise agreed in writing.

​

7. Name Changes / Transfer

  • A booking may be transferred to another person up to 14 days before departure, subject to approval and any additional costs.

8. Right to Refuse or Remove Participation

The Organizer reserves the right to refuse or remove any participant before or during the experience if their behavior, communication, or lack of commitment:

  • Disrupts group harmony

  • Undermines trust or operational flow

  • Fails to meet participation conditions

  • Puts the experience, team, or other participants at risk

In such cases:

  • The reservation will be canceled

  • No refund will be issued (including deposit and any payments made)

  • The participant is responsible for any additional costs related to their removal

9. Failure to Meet Participation Conditions

If a participant fails to:

  • Complete payment as agreed

  • Align with operational adjustments

  • Maintain respectful and constructive engagement

The Organizer reserves the right to cancel the reservation.

All deposits and payments made may be retained to cover reserved capacity, planning, and lost opportunities.

10. Cancellation or Modification by the Organizer

The Organizer reserves the right to modify or cancel the trip due to:

  • Force majeure (weather extremes, political instability, government restrictions, safety concerns)

  • Operational constraints or safety considerations

  • Insufficient number of participants

In such cases:

  • Participants may be offered alternative arrangements or credit toward a future trip

  • The Organizer is not responsible for additional costs such as flights, visas, or personal expenses

11. Travel Insurance

Comprehensive travel insurance is mandatory and must include:

  • Trip cancellation coverage

  • Medical expenses

  • Coverage for kiteboarding and related activities

12. Code of Conduct & Ethics

To maintain the safety, quality, and “Savoir-Faire” of our experiences, all participants agree to:

  • Respect & Safety: Follow instructions from the boat captain, coaches, and organizers at all times

  • Group Harmony: Refrain from any behavior that is abusive, disrespectful, or disruptive to the group environment

  • Environmental Responsibility: Respect local regulations, communities, and wildlife

  • Legal Compliance: Any involvement in illegal activities will result in immediate removal from the experience

13. Agreement

By confirming a booking with payment of the deposit, the participant acknowledges and agrees to these Terms & Conditions.
